ADMINISTRATIVE CIRCULAR NO. 18-91
   
TO:  ALL EXECUTIVE AND PRESIDING JUDGES, CLERKS OF COURT, BRANCH CLERKS OF COURT, OFFICERS-IN-CHARGE, AND ALL ACCOUNTABLE OFFICERS OF THE REGIONAL TRIAL COURTS, METROPOLITAN TRIAL COURTS, MUNICIPAL TRIAL COURTS IN CITIES, MUNICIPAL TRIAL COURTS, MUNICIPAL CIRCUIT TRIAL COURTS, SHARI'A DISTRICT COURTS AND SHARI'A CIRCUIT COURTS

SUBJECT : CONDUCT OF PHYSICAL INVENTORY.

For purposes of updating records of property accountabilities and in order to determine existing conditions of office equipment, furnitures, law books and all other properties supplied by the Department of Justice before January 17, 1973 when it had administrative supervision and by the Supreme Court thereafter, all Clerks of Court, Branch Clerks of Court, Officers-in-Charge and all accountable officers of the Regional Trial Court, Metropolitan Trial Court, Municipal Trial Court in Cities, Municipal Trial Court, Municipal Circuit Trial Court, Shari'a District Court and Shari'a Circuit Court are hereby directed to conduct physical inventory of said properties assigned to their respective branches, offices and libraries as of December 31, 1990, with the representative of the nearest office of the Commission on Audit as witness.

The result of such inventory should be accomplished in the attached Inventory Report Form, in triplicate, and must be duly verified and attested by the representative of the nearest office of the Commission on Audit.

In the preparation of the inventory reports, the condition of each piece of property should be duly indicated under the heading of the "Remarks" column of the prescribed form.

All Executive and Presiding Judges shall supervise the proper implementation of this directive within their respective jurisdiction to insure the prompt accomplishment and submission to the Property Division, Supreme Court, Manila, of such reports for compilation into a Consolidated Inventory Report. The afore-mentioned officials required to submit such reports shall do so within thirty [30] working days from receipt of this Administrative Circular.
